Business Policies and Procedures

1. Booking and Reservation Policy

  • Initial Consultation: A free consultation can be scheduled to discuss the couple's needs, preferences, and ceremony details.
     
  • Booking Confirmation: To secure your date, a signed agreement and a deposit are required.
     
  • Deposit: A non-refundable deposit of [e.g., 30% of the total fee] is required upon booking to reserve the date. The remaining balance is due on the day of the ceremony, before the legal ceremony.
     
  • Payment Methods: Payments can be made via bank transfer, credit card, or other agreed methods.
     

2. Cancellation and Refund Policy

  • Cancellation by Client: If the client cancels the ceremony after booking, the deposit is non-refundable. If cancellation is made within 7 days of the event, full refund would be provided if already paid by the party. No refund provided if the cancellation has occurred just a day before ceremony.
     
  • Cancellation by Celebrant: If the celebrant is unable to perform the ceremony due to illness, emergency, or any other unforeseen circumstance, a full refund of the deposit or total payment will be issued to the client.
     
  • Date Change: If a couple needs to reschedule, a rescheduling fee may apply, and the availability of the celebrant for the new date must be confirmed.
     

3. Ceremony Customization and Personalization

  • Custom Scripts: Clients may request a customized ceremony script. This includes personal vows, rituals, or specific readings. The celebrant will work with the couple to craft a meaningful ceremony.
     
  • Additional Rehearsals: An additional fee may apply for a rehearsal session if required, and it should be scheduled at least 1 week before the ceremony date.
     
  • Rituals and Symbols: The celebrant offers a variety of rituals such as sand ceremonies, candle lighting, and handfasting. Any specific rituals or symbols must be discussed during the planning process. And this would incorporate the material fees as extra charge for the service by the celebrant.
     

4. Pricing and Payment Terms

  • Packages: Pricing is based on the type of ceremony package selected. Full details of the package and inclusions will be outlined in the agreement signed by the parties.
     
  • Final Payment: The final balance is due on the day of ceremony, before the legal ceremony. The celebrant reserves the right to cancel the ceremony if full payment has not been received by this time.
     
  • Travel Fees: Travel fees may apply for events outside of the celebrant’s regular service area. This fee will be discussed and agreed upon at the time of booking.
     

5. Ceremony Day Protocol

  • Arrival Time: The celebrant will arrive at the ceremony location 30 minutes before the start time to set up and prepare for the event.
     
  • Guest Behaviour: The celebrant expects all guests to behave respectfully during the ceremony. Any disruptive behaviour will result in a pause or cessation of the ceremony.
     

6. Client Responsibilities

  • Legal Requirements: It is the responsibility of the couple to ensure that all legal documents and requirements (such as marriage registration forms) are completed and provided to the celebrant in a timely manner.
     
  • Location Setup: The client is responsible for arranging the venue, seating, and other logistics for the ceremony (e.g., any decorations, music setup, etc.), unless otherwise stated in the agreement.
     
  • Witnesses: The client is responsible for arranging legal witnesses for the ceremony, unless this service is provided by the celebrant.
     

7. Privacy and Confidentiality

  • Client Information: All personal information shared by the clients (names, contact details, personal preferences) will be kept confidential and used solely for the purpose of organizing the ceremony.
     
  • Photographs: The celebrant may take photographs of the ceremony for their own portfolio, website, or promotional materials. Clients can opt-out if they do not want photos taken.
     
  • Video Recording: If clients wish to have the ceremony recorded, they must inform the celebrant in advance. Clients are responsible for the arrangements and costs associated with filming.
     

8. Health and Safety

  • Emergency Protocol: In the event of an emergency or unexpected issue, the celebrant will make every reasonable effort to ensure the ceremony proceeds smoothly, though safety will always be the priority.
     
  • Weather Contingency: For outdoor ceremonies, a contingency plan should be made in case of inclement weather (e.g., indoor backup location or canopy). The celebrant may not be responsible for weather-related issues unless discussed beforehand.
     

9. Changes and Amendments to the Ceremony

  • Changes to Details: Any significant changes to the ceremony details (such as venue, time, or content) must be communicated at least 14 days before the ceremony. Changes within a shorter time frame may incur an additional fee.
     
  • Unforeseen Circumstances: If there are sudden changes in the client’s circumstances (such as family emergencies, sickness, etc.), the celebrant will make every effort to accommodate these changes, but the client must notify the celebrant as soon as possible.
     

10. Feedback and Testimonials

  • Client Feedback: Clients are encouraged to provide feedback after the ceremony, which may help improve services for future events.
     
  • Testimonials: Clients may be asked to provide a testimonial for promotional purposes (with permission). Testimonials may be posted on the celebrant’s website or social media platforms.
     

11. Insurance and Liability

  • Insurance: The celebrant carries professional indemnity insurance to cover any errors or omissions in service. Clients should also consider event insurance for their own peace of mind.
     
  • Liability: The celebrant is not responsible for any injuries, damages, or losses occurring during the ceremony or related events. Clients are responsible for ensuring that the event location is safe for guests and participants.


I as a Celebrant will not be held responsible for any circumstances outside my control. This includes, but is not limited to, fire, riot, civil commotion, accidents, acts of nature and equipment failure. If such circumstances arise, all reasonable efforts will be made by the Celebrant to provide the agreed service or find a suitable replacement to complete the duties of the Celebrant.
